Accept direct bank payments

By iantroisi•Last updated: January 2025

In the ServTrackr dashboard, click on the "Payments" tab in the main navigation menu.

Select Manage ACH Transfers

Within the Payments section, you'll find a button labeled "Manage ACH Transfers." Click on this to begin the setup process.

Add a New Client

You'll be prompted to add a new client. Enter the client's name, address, and any relevant details. This will help us track their payment history.

Define the Transfer Details

Select the account you want to use for the transfer. You'll need to provide the bank name, account number, and routing number. ServTrackr will populate this information based on the client's existing banking details.

Set the Transfer Amount

Specify the amount of the payment you want to receive. You can choose to transfer the full invoice amount or a partial amount.

Choose the Payment Schedule

Select the frequency of payments – daily, weekly, or monthly. This determines how often ServTrackr will initiate the ACH transfer.

Save and Activate

Once you've completed all the steps, click the "Save & Activate" button to finalize the setup. You'll receive a confirmation email with all the details.

Best Practices

  • Use Secure Bank Information: Always double-check the bank details entered for accuracy. Errors here can lead to payment delays or issues.
  • Test the Transfer: Before launching the system for all clients, run a test ACH transfer to ensure everything works as expected.
  • Monitor Transfer Status: Regularly check the status of your ACH transfers in the "Manage ACH Transfers" section to identify any potential issues quickly.
  • Send Confirmation Emails: Always send a confirmation email to the client with the transaction details, including the date, amount, and transfer ID.
  • Update Client Information: Keep your client's banking details current in ServTrackr. This ensures seamless and timely payments.

Common Issues & Troubleshooting

  • Payment Not Received: If a payment isn't received after a reasonable timeframe (typically 3-5 business days), contact the client's bank. Ensure the bank details are accurate and that ServTrackr has sufficient permissions to access the account.
  • Incorrect Bank Information: If the transfer fails, verify that the bank name, account number, and routing number are correctly entered. A simple typo can cause problems.
  • Transfer Limits: Some banks may have limits on the amount of money that can be transferred through ACH. Check with your bank to ensure the transfer amount is within their limits.
  • Authentication Issues: Occasionally, there might be a delay in authentication with the bank. Try refreshing the page or contacting ServTrackr support.
  • "Insufficient Funds" Error: If the client's bank has insufficient funds, the transfer will be blocked. Contact the client to resolve the issue.
