Navigate to Billing Settings
In ServTrackr, click on the "Settings" tab in the main navigation menu. Then, select "Billing Settings."
Select Late Fee Rules
Within the Billing Settings, you'll find a section labeled "Late Fee Rules." Click on this to open the rules configuration panel.
Create a New Rule
Click the "Add Rule" button. This will open a form where you'll define your late fee calculation.
Define the Fee Amount
Enter the amount of the late fee in your chosen currency (e.g., USD, EUR). This is the initial amount you'll charge for late payments.
Set the Due Date
Specify the date the payment is due. This is the starting point for the calculation.
Configure Payment Status
Select the payment statuses you want to apply the fee to. Typically, you'll want to include "Past Due" and "Overdue" as options.
Save the Rule
Click the "Save" button to finalize the rule creation. You may need to confirm your selection.
Test the Rule
After saving, it's a good idea to test the rule to ensure it's working as expected. Submit a test payment to verify the fee is applied correctly.
Best Practices
- Consistency is Key: Establish clear and consistent late fee rules across all your billing cycles. Document these rules for easy reference.
- Tiered Fees: Consider implementing tiered late fee structures. For example, a small fee for a few days late, and a larger fee for more significant delays.
- Notification System: Integrate with your notification system (e.g., email, SMS) to alert customers about late payments. This proactive approach helps prevent issues.
- Regular Review: Periodically review your late fee rules to ensure they remain aligned with your business goals and industry standards.
- Clear Communication: Communicate your late fee policy clearly to your customers. Make it easily accessible on your website and in your invoices.
Common Issues & Troubleshooting
- Incorrect Fee Calculation: If the fee isn't being applied correctly, double-check the payment status and the fee amount in the rule settings.
- Payment Not Received: If a payment is not received, ensure the payment gateway is correctly configured and the payment is being processed.
- Rule Not Applying to All Payments: If the rule isn't affecting all payments, verify that the payment status is correctly associated with the rule.
- Rate Limits: ServTrackr has rate limits on rule creation. If you are creating a large number of rules, you may need to adjust your account or request a higher limit. Contact Support if you are encountering this.
- Data Validation: Ensure your payment details are entered correctly. Incorrect data will lead to inaccurate fee calculations.
