Best Practices

  • Consistency is Key: Establish a standard set of payment terms for all your clients. This will help with internal reporting and forecasting.
  • Communicate Clearly: When setting terms, clearly communicate the terms to your clients. A simple email confirming the terms will prevent misunderstandings.
  • Consider Client Needs: Think about your clients' payment habits. A slightly more lenient payment term might be beneficial for long-term relationships.
  • Regularly Review: Periodically review your payment terms to ensure they still align with your business goals and client expectations. Adjust as needed.
  • Streamline Where Possible: Explore ServTrackr's workflow features – like scheduled payment reminders – to further streamline the process.

Common Issues & Troubleshooting

  • Incorrect Terms Applied: If you accidentally set a term incorrectly, you can easily edit it. Go back to the "Payment Terms" section and make the necessary changes.
  • Client Disputes: If a client challenges a payment term, document the reason for the dispute and respond promptly. ServTrackr provides tools to track and manage these conversations.
  • Forgotten Terms: It's easy to forget a setting. Use ServTrackr's reminder features to ensure you don't miss any changes.
  • Tax Implications: Be mindful of tax implications associated with different payment terms. Consult with a tax professional if you have any questions.
  • Reporting Issues: If you see a payment term not showing up in your reports, double-check that it's correctly assigned to the invoice.
