In the main dashboard, locate and click on the "Payment Methods" tab. It's usually located in the top right corner of your screen.

Add a New Payment Method

Click the "Add Payment Method" button. You'll be presented with a form to input the necessary information.

Enter Customer Details

Fill in the required fields – Customer Name, Account Number, and Payment Method (Credit Card, Debit Card, etc.). For Credit/Debit cards, you'll need to enter the card details directly.

Confirm & Save

Review the information carefully. Click "Save" to finalize the payment method. The new payment method will now appear in your list of available payment methods.

Best Practices

  • Regularly Review and Update: Don't just set it and forget it! Schedule a monthly review of your payment methods to ensure accuracy.
  • Segment Your Customers: Categorize customers based on payment frequency and amount to prioritize and manage accordingly.
  • Use Auto-Fill: Enable auto-fill for fields like Customer Name and Account Number to speed up data entry.
  • Set Reminders: Configure reminders for upcoming payments to proactively manage outstanding balances.
  • Password Protection: Use strong passwords for your payment methods to protect sensitive data.

Common Issues & Troubleshooting

  • Payment Method Not Found: If a payment method is not showing up, double-check that the customer's information is accurate and complete. Ensure the customer is logged in with the correct account.
  • Incorrect Payment Details: If you're entering the payment details manually, verify that the card number, expiry date, and CVV are correct. A single typo can cause problems.
  • Syncing Issues: If you're experiencing syncing problems, try refreshing the page or restarting the ServTrackr application. If the issue persists, contact support.
  • Forgotten Payment Method: If you forget a payment method, you can always "delete" the payment method from the "Payment Methods" section. However, this will remove the payment method from your system – it's best to ensure it's saved before deleting.
