Resolve printing errors

By iantroisi•Last updated: January 2025

Overview

Printing and PDF generation are essential features in ServTrackr that allow you to create physical copies of invoices, estimates, reports, and other important documents. However, sometimes you may encounter issues when trying to print or generate PDFs.

This guide will help you troubleshoot common printing and PDF problems, ensuring you can successfully generate the documents you need for your business operations.

Step-by-Step Guide

Step 1: Check Printer Connection

First, ensure your printer is properly connected to your computer or network. Check that the printer is powered on and that all cables are securely connected. If using a network printer, verify that it's connected to the same network as your computer.

Step 2: Verify Printer Settings

Navigate to your computer's printer settings and verify that the correct printer is selected as the default. You can access printer settings through your operating system's control panel or system preferences.

Step 3: Test Print from Another Application

Try printing a test page from another application (like a text editor or web browser) to determine if the issue is specific to ServTrackr or a general printer problem.

Step 4: Clear Print Queue

If you have stuck print jobs, clear your print queue. This can often resolve printing issues caused by corrupted print jobs.

Best Practices

  • Leverage Print Quality Settings: Don't just rely on the default settings. Explore the "Print Quality" options within the Print Preview. You can adjust settings like color depth, paper type, and image quality to optimize your output.
  • Utilize the Print Preview Feature: Before finalizing your print job, always use the "Print Preview" function. This allows you to see exactly how your document will look on paper, identifying potential issues before you commit to the print job.
  • Check the Print Options Menu: Within the Print window itself, you'll find a "Print Options" menu. Here, you can set things like paper size, margins, and bleed.
  • Manage Print Jobs Effectively: Use the "Print Jobs" section in ServTrackr to manage your print orders. You can easily view, edit, and track the status of your print jobs.

Common Issues & Troubleshooting

  • Problem: Printing Blank Pages
Cause: This often happens when the printer driver isn't correctly installed or is outdated.
Solution: First, restart your computer. Then, go to the "Settings" icon in the top right corner of your browser window. Click on "Devices" and then select "Printers & Scanners." Ensure the correct printer is selected. If the printer isn't listed, try reinstalling the printer driver from the manufacturer's website.
  • Problem: Incorrect Color Settings
Cause: The printer's color profile settings might be misconfigured.
Solution: In the Print Preview, go to the "Color" tab. Ensure the selected color profile matches the document's intended color scheme.
  • Problem: Paper Jitter/Ink Blotting
Cause: This can be caused by dirty paper, low ink levels, or a problem with the printer's ink cartridge.
Solution: First, check the ink levels in your printer. Then, try switching to a different paper type. If the problem persists, it might be necessary to replace the ink cartridge.
  • Problem: Print Quality is Too Low
Cause: The print quality settings may be set too low for the intended use.
Solution: Increase the print quality settings in the Print Preview and, if necessary, adjust the print quality within the Print Window itself.

Additional Tips

  • Utilize the Print History: ServTrackr saves your print jobs. You can access your print history in the "Print History" section of the ServTrackr dashboard.
  • Streamline Print Jobs: Set up scheduled print jobs for frequently used documents. This saves you time and ensures that important documents are printed correctly.
  • Print Reports Regularly: Don't let print jobs pile up. Schedule regular print jobs to keep your documents organized and minimize the risk of missed deadlines.
