Sending Estimates

Multiple ways to deliver estimates to customers:

  • Email: Send with professional email template
  • SMS: Text link for mobile viewing
  • Client Portal: Available in customer's portal
  • In-Person: Present on tablet and collect signature
  • Print: PDF for physical delivery
  • Shared Link: Public link for easy sharing

Tracking Status

Monitor estimate status in real-time:

  • Draft: Being created, not yet sent
  • Sent: Delivered to customer, awaiting response
  • Viewed: Customer has opened the estimate
  • Accepted: Customer approved the quote
  • Declined: Customer rejected the quote
  • Expired: Passed expiration date
  • Converted: Changed to invoice or project

Client Actions

What customers can do with estimates:

  • View detailed breakdown of services and pricing
  • Accept estimate with electronic signature
  • Decline with optional reason
  • Request modifications or ask questions
  • Pay deposit to accept
  • Download PDF copy for records
  • Share with spouse or decision maker

Estimate follow-ups

Use saved rules to nudge clients when an estimate is sent or still unsigned, or follow up manually from the estimate record, so open quotes get a next step instead of going quiet.

  • Send a reminder a few days after an estimate goes out
  • Follow up again closer to expiration
  • Offer a time-bound incentive when it fits your policy
  • Ask for feedback if a prospect declines
  • Suggest an alternate scope or package when helpful
